1. Who we are

ROBERT TRANSPORT LIMITED (company number 13533975), registered office 12 Cannon Street, Swindon, Wiltshire, SN1 3DD, is the data controller for personal data processed through this website and in the course of providing transport services. We are referred to as “we”, “us” or “Robert Transport”.

2. Data we collect

Quote and dispatch requests

Collection and delivery postcodes, dates, freight details, your name, business name, phone number, email address and any notes you add.

Contact enquiries

Your name, email address, phone number (if given), the topic and the content of your message.

Bookings and deliveries

Consignment details, delivery addresses, contact names at collection and delivery sites, signatures and photographs taken as proof of delivery, and invoicing details.

Technical data

Our hosting provider records standard server logs (IP address, browser type, pages requested) for security and performance. We do not build profiles from this data.

3. How we use it

To price, plan and carry out the transport you ask for, and to contact you about it.
To send proof of delivery, invoices and records relating to your consignments.
To respond to enquiries and manage account applications.
To keep the website secure and to diagnose faults.
To meet legal obligations, including tax, accounting and transport regulation.

We do not sell personal data and we do not send marketing emails unless you have asked to receive them.

4. Lawful basis

Contract — processing needed to provide a quote or perform a booking.
Legitimate interests — responding to enquiries, keeping records of jobs, securing the website.
Legal obligation — retaining financial and transport records required by law.
Consent — where you tick a box to be contacted about a request or to receive updates. You can withdraw consent at any time.

Email delivery: form submissions and our confirmation emails are sent through Resend (Resend, Inc.), an email delivery service that processes the message content on our behalf under a data processing agreement and retains delivery logs for a limited period.
Hosting: the website is hosted on Vercel’s global edge network; server logs are processed on our behalf.
Partner carriers: where a job is forwarded through a partner haulier, we share only the consignment and site contact details needed to complete the delivery.
Customs agents: for European movements, consignment and consignee details are shared with your nominated customs agent.
Professional advisers and authorities: accountants, insurers and regulators where required.

Where data is transferred outside the UK, we rely on adequacy regulations or standard contractual clauses.

6. Retention

Quote requests that do not become bookings: 12 months.
Booking, consignment and proof-of-delivery records: 6 years, in line with limitation periods and HMRC requirements.
General enquiries: 12 months from our last reply.

7. Cookies & analytics

This website sets no advertising or tracking cookies. The dispatch form stores an unsent draft in your browser’s session storage so a refresh does not lose your progress; it is deleted when the form is sent or the tab is closed and never leaves your device. If we add privacy-respecting analytics in future, this policy will be updated first.

8. Your rights

Under UK GDPR you can ask us to:

confirm what personal data we hold about you and provide a copy;
correct inaccurate data or complete incomplete data;
erase data we no longer need to keep;
restrict or object to processing based on legitimate interests;
provide your data in a portable format where processing is based on contract or consent.

We respond within one month. There is no fee unless a request is manifestly unfounded or excessive.
